Contact & identification details: name, address, email, phone, date of birth, driver’s licence, and (if applicable) company/business numbers.
Vehicle & sales information: vehicle identification details (e.g., VIN/registration), purchase details, transfer/hand-over records, and (where relevant) information needed to check warranty/recall status with manufacturers.
Device & usage information (when you visit our sites): IP address, browser/OS type, device identifiers, approximate location (if permitted), and analytics about pages viewed and actions taken.
Information you choose to give us: any details you provide that are relevant to enquiries, test drives, purchases or customer care.
You don’t have to provide personal information, but if you don’t, we may be unable to supply certain products or respond to some requests.
How we collect information
We collect personal information when you interact with us, including:
directly from you in our showroom, by phone/email, or via our online forms and portals;
automatically when you use our websites (including via cookies and similar technologies); and
from third parties where lawful (e.g., manufacturers or service providers assisting us to operate our business).
Why we collect and use information
We collect, hold, use and disclose personal information to:
provide and support our products and services (including vehicle sales and customer care);
process transactions, transfers and bookings (e.g., test drives, inspections);
communicate with you about products, recalls/updates (where relevant) and enquiries;
run marketing and promotions (with your consent where required or where we have a legitimate interest). You can opt out at any time;
comply with laws and regulations (e.g., motor vehicle, consumer, privacy and taxation laws); and
support internal business operations, such as training, quality assurance, analytics, risk management and record-keeping.
We may also use or disclose information for purposes explained at the time of collection, with your consent, or as required or authorised by law.
When we disclose personal information
We may disclose personal information to:
our internal teams who help operate Sterling Auto Traders;
vehicle manufacturers or their Australian representatives to confirm warranty/recall matters where relevant;
business service providers, including:
dealer management/website/IT hosts, cloud and data storage, cyber/security services;
logistics/courier providers for vehicle/document delivery;
marketing and analytics platforms;
professional advisers (legal, accounting, tax, compliance); and
document archiving and records management services;
government and regulatory bodies (e.g., state motor registries, law enforcement and regulators) where required or authorised; and
buyers of our business/assets (if we sell or restructure). Any new holder must handle your information under this Policy or an equivalent policy.
We do not provide consumer finance or vehicle servicing. If you ask us to introduce you to third-party providers (e.g., finance or insurance), we will only share the minimum contact and vehicle details needed to connect you, and the third party will handle your information under their own privacy policy.
Overseas disclosure
Some service providers and manufacturers may be located or process data overseas. Where we transfer personal information outside Australia, we take reasonable steps to ensure the recipient protects it in accordance with the APPs or an equivalent standard.
How we store and protect information
We store personal information in electronic systems (including third-party cloud services) and, in some cases, secure hard-copy files. Safeguards include access controls, password protection, malware protection, secure premises, staff training and policies covering information handling and retention.
We keep personal information for as long as needed for legal, accounting and operational requirements, then take reasonable steps to securely destroy or de-identify it.
Your choices: access, correction and complaints
We aim to keep your information accurate and up to date. You can:
access and request correction of your personal information; and
make a privacy complaint if you’re unhappy with how we’ve handled your information.

Marketing communications

We’ll still send essential service or transactional messages (e.g., purchase/collection confirmations, regulatory notices).

Job applicants and referees
If you apply for a role with us, we may collect information such as contact details, right-to-work, CVs, referee details, interview notes and (where relevant) background checks. We may contact your nominated referees and collect information about you from them. We use this information to assess and progress your application and share it only with service providers acting for us or as required by law.
